Event Terms & Conditions

The following Terms of Use are entered into by and between You and Stepfamily Solutions (“Company”, “we”, or “us”).

The terms set out below are a legal agreement between you and Stepfamily Solutions. Booking and attending a Stepfamily Solutions event or retreat confirms your agreement to these Terms and Conditions. Stepfamily Solutions reserves the right to amend the Terms and Conditions from time to time at our sole discretion. Such amendments will be published here and changes are effective immediately when we post them.

The most current version of the Terms will supersede all previous versions. The Company encourages you to periodically review the Terms to stay informed of our updates.

Retreat or Event Booking

By agreeing to these terms and conditions and paying the required deposit or full payment amount for an event or retreat hosted by Stepfamily Solutions, your booking or event registration is regarded as a contract between yourself and Stepfamily Solutions.

Payment terms

Payment terms are specified here on stepfamilysolutions.com and on the checkout page specific to the retreat or event you have chosen to participate in. Failure to adhere to the payment terms will result in the automatic cancellation of your booking and no refund will be due on automatic cancellation. Full payment for all retreats is due at the time of registration unless you are participating in a payment plan. If you are participating in a payment plan, payment is due in installments according to the terms of the plan. If payment is not received, Stepfamily Solutions reserves the right to suspend your participation.

Cancellation Policy

Stepfamily Solutions has crafted your retreat or event with much care, time, effort, and energy for a small group of attendees to allow for a personal, intimate experience. We understand that circumstances beyond our control or unexpected events occur that could give rise to cancellations. Our cancellation terms are set out below:

1. Registration fees, deposits, and payments are non-refundable.
2. Registration fees, deposits, and payments made may be transferrable to another attendee, sourced and assigned by the original attendee. Transfer requests must be made in writing to info@stepfamilysolutions. Payments either in part or in full cannot be transferred to an alternative retreat, event, coaching session or program.
3. No exceptions can be made to the cancellation policy for any reason whatsoever, including, but not limited to weather, injury, illness, or any other personal emergencies. Refunds will not be considered for failure to attend or complete the retreat or part thereof or for arriving late or departing early.
4. Stepfamily Solutions reserves the right to cancel or amend the retreat or event you have booked in cases of inadequate participant interest or failing to meet the retreat venue minimum guest requirement. In this case, payments made to Stepfamily Solutions will be refundable and notification of such cancellation will be given to the guests in writing at least one month before the commencement date of the retreat.
5. Payments are not refundable if cancellation is a result of a catastrophic world or natural event beyond our control, but Stepfamily Solutions will make best efforts to apply payments to a future event where possible. Stepfamily Solutions is not liable for any personal expenses, cancellation expenses or change of reservation expenses incurred by attendees due to retreat cancellations.

We strongly encourage our guests to take out their own travel insurance when attending international retreats, which should be purchased to cover medical or accidental emergencies as well as cancellation and baggage cover.

Force Majeure

If the performance of this Agreement or any obligation hereunder is prevented, restricted or interfered with by any act or condition beyond the reasonable control of the affected party, including, but not limited to, acts of God, fire, flood, explosion, earthquake or other natural forces, strikes, wars, unforeseeable transportation delays, accidents, destruction or casualty, pandemics, public health crisis, sudden unavailability of materials, failure of necessary supplies, or any other event similar to those enumerated above, the Party so affected, upon giving prompt notice to the other Party, will be excused from such performance to the extent of such prevention, restriction or interference.

In the case of any change, modification, cancellation, postponement or delay due to any unforeseeable events, you acknowledge that you will have no right of refund. Stepfamily Solutions will do its best to transfer the funds to a new date.

Travel Insurance

As specified above, we strongly recommend that you take out travel insurance when attending international events or retreats, which adequately covers you for all activities during the retreat, as well as illness, emergency medical expenses, as well as other related risks (including but not limited to helicopter evacuation, air ambulance, and repatriation. Evacuation costs are to be covered by the person being evacuated).

Stepfamily Solutions shall not be held liable for any logistical, financial, or other consequences arising from the lack of adequate insurance.

We strongly recommend the coverage be extended to include cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience occurring to you during travel.

Stepfamily Solutions shall have no liability for loss, theft of or damage to baggage or personal effects. Personal belongings lost or stolen while unattended by the client in public lounges or other public areas, whether on board a train, bus, or other mode of transportation, publicly owned or operated by Stepfamily Solutions or elsewhere, are not reimbursable. Losses due to ordinary wear and tear, and other acts of God are not reimbursable.

Stepfamily Solutions cannot accept responsibility for and in no event shall be liable for loss or damage of valuables or other articles left in or on facilities used by Stepfamily Solutions, such as hotels, vehicles, or any other mode of transportation.

You acknowledge that the cost of Stepfamily Solutions events or retreats do not include insurance and that you have been advised to obtain separate coverage at an additional cost. When obtaining travel insurance, you must ensure the insurer is aware of the type of travel to be undertaken.

Stepfamily Solutions event or retreat leaders, local guides or other representatives decisions will at all times be final on all matters likely to affect the safety and well-being of the trip. We reserve the right to prohibit any traveler from continuing on a trip with no right of refund if, in our opinion, that traveler’s actions pose a threat to the safety of others, to themselves, or if the traveler’s actions and/or behaviors are harming the enjoyment of the trip for others.

Travel Arrangements

Stepfamily Solutions events and retreats do not include national or international airfare. All travel arrangements other than those specified in the inclusions of the retreat price, are your own responsibility and at your own cost.

Stepfamily Solutions shall not be held liable for any delays, cancellations, or irregularities in documentation required for traveling to the retreat destination. Please ensure that you comply with the entry requirements for the host country and that you obtain the necessary visa and/or other legislative documentation required prior to traveling to the retreat destination.

Stepfamily Solutions shall not be liable for any cancellation or change of reservation costs incurred by failing to comply with statutory and other requirements for travel.

Any information or advice given by Stepfamily Solutions regarding visas, vaccinations, climate, clothing, baggage, special equipment, etc. is purely advisory, provided as a courtesy to the attendee and Stepfamily Solutions is not responsible for any errors or omissions as to the information provided by third parties such as the appropriate governmental authorities.

Participant will book all accommodations directly and will be independently bound by those terms and conditions. Participant will be responsible for all cancellation costs and fees imposed by the hotel in the event of cancellation.

Amendments To The Event or Retreat Itinerary & Program

Occasionally it may become necessary to make amendments to the event or retreat itinerary which the facilitators deem necessary to enhance the overall experience of the group, and we reserve the right to do so at any time.

Stepfamily Solutions and its partners reserves the right to alter retreat programs and itineraries due to weather, road conditions, labor strikes, or other circumstances. These programs may be changed or cancelled at any moment due the trip to assure the safety of our clients and staff. No responsibility is accepted for losses, expenses due to delays, changes of flights or other services because of strikes, accidents, sickness, damage, negligence, weather, war, changes in schedules or other similar causes. Stepfamily Solutions and its partners do not assume responsibility for accidents or deaths that can be traced to the participants’ negligence, acts of third parties or exterior circumstances such as weather, natural occurrences, war or other similar causes.

Should an amendment to your accommodation become necessary for any reason, we will endeavour to ensure you are offered accommodation of a similar standard and if a significant change becomes necessary, we will inform you as soon as is reasonably possible prior to your departure.

Program content is subject to change at the sole discretion of Stepfamily Solutions. While unlikely, event retreat dates and locations are subject to change. If necessary to comply with government restrictions or due to circumstances outside of our control, in-person retreats may instead be shifted to be held online during the same dates.

Your Health and Safety

We endeavour to create an unforgettable event or retreat experience and want to ensure that we communicate honestly and adequately around any risks or concerns regarding your health.

By signing up for the event or retreat, you attest that you are in good physical and mental health to travel and participate in the event or retreat.

You are advised to consult with a physician to ensure you are in adequate health. It is your responsibility to let your retreat facilitators know if you have any acute or chronic injuries. Remain present and mindful during the retreat activities and if you experience any pain or discomfort, please stop immediately.

You will notify Stepfamily Solutions if you suffer from any medical or health condition that may cause injury to yourself or others or may require emergency care during your participation.

You agree to comply with all health and safety policies in effect at the time of the in-person event or retreat, including guidelines given by the venue, by national and local health authorities, and by Stepfamily Solutions. Failure to comply with health and safety guidelines may result in cancellation of your participation in the event or retreat.

Health Acknowledgement. The Program of the event or retreat does not provide and is not intended for diagnosis or treatment of any medical or psychological illness.

1. Should you suffer from any chronic or acute injuries it is your responsibility to consult with your treating physician prior to the event or retreat to determine your fitness to participate.
2. If you are pregnant, or under medical supervision, you must inform the facilitators and it is your own responsibility to assess your fitness to participate in the event or retreat activities.
3. Please inform us of any mental, physical or emotional conditions that may be triggered or affected by activities offered at the event or retreat. Stepfamily Solutions facilitators reserve the right to advise you to desist in the interest of your well-being or that of others and may decline your participation in our events if we have any reason to believe that there may be any risk.
4. The Stepfamily Solutions team is not professionally qualified or equipped to treat emotional conditions and cannot provide the necessary therapy or psychological support for such conditions. We are also not medically qualified to offer any treatment or advice for any specific medical conditions you may have.
5. Whilst all reasonable measures are taken to ensure a high standard of health, wellbeing and safety, we cannot be held liable for any injury, accident or physical or mental health condition directly or indirectly caused during your time at the event or retreat or as a consequence thereafter.
6. You acknowledge that during the event or retreat you participate voluntarily in activities and therefore surrender your right to any cause of action against Stepfamily Solutions, the teachers, facilitators, owners and property arising from any loss, damage or death to any person or property that occurs during your retreat.

Liability Release

We take your safety and well-being very seriously, which is why we partner with trained professionals for our all of domestic and international events and retreats. However, you are ultimately responsible for your safety. To avoid possibly dangerous situations, it is extremely important that you obey any rules and regulations imposed by the Stepfamily Solutions event or retreat leaders and/or local guides and instructions given by them.

Stepfamily Solutions reserves the right to prohibit any attendee from continuing on a trip with no right of refund if, in our opinion, that attendee’s actions pose a threat to the safety of them, others, or to the wildlife, or if that attendee’s actions or behaviors are seriously jeopardizing the enjoyment of the trip for others. The decision of the Stepfamily Solutions event or retreat leader or representative will at all times be final on all matters likely to affect the safety and well-being of the trip.

All attendees must, at all times, strictly comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and Stepfamily Solutions will not accept responsibility or liability for any attendee who contravenes any laws or other regulations of any country visited.

You hereby agree to release, discharge, and covenant not to sue Stepfamily Solutions, its sponsors, employees, staff, volunteers, other participants, owners and lessees of the premises on which the event or retreat is conducted (“Releasees”) from:

1. Liability for cancellations, delays, changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil unrest, industrial action, natural disasters, technical problems to transport, staff cancellations, unforeseen changes in your personal circumstances and other events beyond our control.
2. Liability for any injuries that may occur as activities are undertaken at your own risk and are not responsible for any medical, mental or emotional conditions which may develop during or subsequent to the retreat.
3. Liability for any loss of, or damage to your personal property. It is your responsibility to ensure that your possessions are kept safe at all times.
4. Liability for any and all claims that arise or may arise from any negligent acts or conduct of the Releasees, to the fullest extent permitted by law. Attendee agrees not to institute, prosecute, or in any way aid in the institution or prosecution of any claim, suit, or demand against Releasees for damages, expenses, costs, loss, injury of any kind or nature, including but not limited to, damages to persons or property, or both, whether developed or undeveloped, foreseen or unforeseen, known or unknown, past, present or future, that may be sustained as a direct or indirect consequence of Attendee’s participation in the Program. However, nothing in this Agreement shall be construed as a release for conduct that is found to constitute gross negligence or intentional conduct.

You knowingly and freelly assume all such risks and dangers, both known and unknown, even if arising from the negligence of the releasees or others, and assume full responsibility for your participation. You acknowledge that these risks and dangers may be caused by your own actions or inactions, the actions or inactions of others participating in the event or retreat, the conditions in which the event or retreat takes place, or the negligence of Company. You fully accept and assume all such risks and all responsibility for losses, costs, and damages you incur as a result of your participation in the Retreat.

Stepfamily Solutions is not responsible for any improper or non-performance of any services forming part of the Contract which are wholly attributable to the fault of the attendee, the unforeseeable or unavoidable act or omission of a third party unconnected with the provision of any services to be provided under the Contract; unusual and unforeseeable circumstances beyond the control of Stepfamily Solutions and/or the relevant supplier, the consequences of which could not have been avoided even if all due care had been exercised including (but not limited to) an event of force majeure; or any event which Stepfamily Solutions and/or the relevant supplier could not even with all due care have foreseen or forestalled.

In the event that Stepfamily Solutions is responsible for any death, injury or illness caused by the negligent acts and/or omissions of its suppliers of services which form part of the Contract then Stepfamily Solutions limits its liability.

Data Protection

To ensure that retreats run smoothly, Stepfamily Solutions may need to use personal information (such as name, address, special needs, health conditions, dietary requirements etc.) provided by attendees to Stepfamily Solutions, and as necessary, pass on such information to other outfitters/guides or suppliers involved in the operation of the retreat. Stepfamily Solutions will apply appropriate security measures to protect such personal data and will only pass on data that is applicable to outfitters or suppliers responsible for the retreat. By registering for the retreat, attendees consent to this information being transferred as required.

Attendee Responsibilities; No Guarantees

Attendee accepts and agrees that they are 100% responsible for their progress and results from the event or retreat. We will help and guide attendees; however, participation is the one vital element to the event or retreat’s success that relies solely on the attendee.

You agree that Stepfamily Solutions has made no representations, warranties or guarantees verbally or in writing regarding attendees performance. Attendee understands that because of the nature of the event or retreat, the results experienced by each client may significantly vary.

Attendee acknowledges that there is no guarantee that attendee will reach their goals as a result of participation in the event or retreat and any comments by Stepfamily Solutions about the outcome are expressions of opinion only. Stepfamily Solutions makes no guarantee other than that the services offered in the event or retreat shall be provided to attendee in accordance with the terms of this Agreement.

You also recognize that prior results do not guarantee a similar outcome. Thus, the results obtained by others – whether clients of Stepfamily Solutions or otherwise are no guarantee that you or any other attendee will be able to obtain similar results.

Code of Conduct

If Stepfamily Solutions or its staff determine, in its sole discretion, and at any time, that an attendee is not suited for participation in the event or retreat, Stepfamily Solutions or its staff will so inform attendee in writing and reimburse all fees paid to date, including the non-refundable deposit.

Upon receipt of such notice, attendee shall cease all participation in the event or retreat. Stepfamily Solutions may also exclude an attendee in whole or in part from an individual in-person or online retreat. Circumstances in which attendee may be asked to leave the event or retreat include but are not limited to:

• Disruptive behavior that interferes with others’ participation in the program;
• Verbal or physical abuse, harassment, or threats against program facilitators or participants;
• Sexual harassment, stalking, harassing photography or recording, inappropriate or unwelcome physical contact;
• Failure to comply with other health & safety policies;
• Violation of the confidentiality agreement;
• Concerns about Participant’s physical or mental well-being and safety;
• Participant’s consumption of illegal alcohol, marijuana, plant medicines, or other drugs or intoxicants during a Program retreat (prescribed medications excluded)

Severability

In the event that any term or condition contained herein is unenforceable or void by operation of law or as being against public policy or for any other reason than such term or condition shall be deemed to be severed from this Agreement or amended accordingly only to such extent necessary to allow all remaining Terms and Conditions to survive and continue as binding.

Successors & Assigns

These Terms and Conditions shall inure to the benefit of and be binding upon Stepfamily Solutions and the attendee and their respective heirs, legal personal representatives, successors, and assigns.

Applicable Law

Stepfamily Solutions exists under, and is pursuant to, the laws of Virginia, United States of America. The Contract and these Terms and Conditions are subject to the laws of Virginia, United States of America.

Venue for all disputes shall be Fairfax County, Virginia. Participant irrevocably submits to the exclusive jurisdiction of such courts and waives the defense of inconvenient forum to the maintenance of any such action or proceeding in such venue.

Waiver of Booking Conditions

These Booking Terms and Conditions may only be waived or amended by written mutual consent. When an attendee completes, submits and makes the payment for booking their place for an event or retreat, they agree to accept all these conditions, and when the booking is accepted, Stepfamily Solutions agrees to carry out the obligations as defined therein.

Media & Photography Release

In the course of participation in a Stepfamily Solutions event or retreat, photos or video may be taken by participants, guides and professional photographers.

Stepfamily Solutions reserves the right to use photos or videos from the event or retreat in any promotional materials, website, social media platforms, etc.

By signing up for the Retreat, you grant permission to Stepfamily Solutions perpetual, royalty-free, worldwide, irrevocable licesnse to use such images for those purposes. If you do not want your image or voice to be used, please notify Stepfamily Solutions in writing before the event or retreat begins.

Intellectual Property

You may be provided with educational and other materials as part of your participation in an event or retreat. All materials provided to you or shared with you by Stepfamily Solutions such as text, graphics, logos, images, worksheets, workbooks, as well as the compilation thereof is the property of Stepfamily Solutions or its suppliers and protected by copyright and other laws that protect intellectual property and proprietary rights. You agree to observe and abide by all copyright and other proprietary notices, legends, or other restrictions contained in any such content and will not make any changes thereto.

You will not modify, publish, transmit, reverse engineer, participate in the transfer or sale, create derivative works, or in any way exploit any of the content you are provided, in whole or in part.

Stepfamily Solutions content is not for resale. Your use of any of the resources provideddoes not entitle you to make any unauthorized use of any protected content, and in particular, you will not delete or alter any proprietary rights or attribution notices in any content. You will use protected content solely for your individual use and will make no other use of the content without the express written permission of Stepfamily Solutions and the copyright owner. You agree that you do not acquire any ownership rights in any protected content. We do not grant you any licenses, express or implied, to the intellectual property of Stepfamily Solutions or our licensors except as expressly authorized by these Terms.

The Stepfamily Solutions name, logo, slogan, and all related names, logos, product and service names, designs, and slogans are trademarks of the Company or its affiliates or licensors. You must not use such marks without the prior written permission of Stepfamily Solutions. All other names, logos, product and service names, designs, and slogans on this Website are the trademarks of their respective owners.
